How to Choose an HRMS for Your Growing Business: A Buyer Guide

Start With Your Pain, Not Their Features

Most HRMS demos showcase 200 features. You will use 30. Before any demo, write down the three processes that hurt most today: usually attendance-to-payroll reconciliation, leave disputes, or document chaos. Judge every product against those three.

Question 1: Does It Connect to Payroll Natively?

An HRMS that exports CSVs for a separate payroll tool just moves your reconciliation problem. Native payroll integration means attendance shortfalls, new joiners, exits, and salary revisions flow into pay runs without a human copying numbers.

Question 2: Will Employees Actually Use It?

Self-service adoption is the difference between an HR system and an HR database. Look for a mobile app employees genuinely use: applying leave, checking payslips, punching attendance, and viewing holidays. Every task an employee self-serves is a ticket HR never handles.

Question 3: How Does It Handle Indian Compliance?

PF, ESI, PT, TDS, gratuity, bonus act, Shops and Establishments leave rules: if the vendor's answer is "you can configure that", ask to see it configured. Statutory support should be built in, not a services engagement.

Question 4: What Happens at 2x Headcount?

Check multi-entity support, role-based permissions, approval delegation, and audit trails now, even if you do not need them yet. Migrating HR systems at 200 employees is far more painful than at 60.

Question 5: What Does Exit Look Like?

Ask how you get your data out: employee master, documents, payroll history. A vendor confident in their product makes leaving easy.
