Why This Matters More for Business Systems
An ERP or HRMS holds everything: financials, salaries, personal identifiers, and bank details. Evaluating vendor security is not paranoia, it is table stakes. The good news: the right questions quickly separate serious vendors from the rest.
Question 1: How Is My Data Isolated?
In multi-tenant SaaS, many companies share infrastructure. Ask how tenant isolation is enforced: every query scoped to your tenant, isolation tested in code review and automated checks, and no cross-tenant access paths even for support staff without explicit consent flows.
Question 2: What Is Encrypted, and Where?
Transport encryption (TLS) is universal. The differentiators are encryption at rest and field-level encryption for sensitive columns like salaries, bank account numbers, and government identifiers. Ask specifically which fields get field-level treatment.
Question 3: Who Can Access What?
Role-based access control should be granular: an HR executive who manages leave should not see salary structures. Ask about admin action audit logs, session controls, MFA support, and how quickly access is revoked when an employee exits.
Question 4: What Happens When Things Fail?
Ask for backup frequency, tested restore times, and retention windows. A vendor who has never rehearsed a restore has a backup strategy on paper only.
Question 5: Where Does My Data Live, and Can I Leave?
Data residency matters for compliance. So does exit: a full export of your records in usable formats should be a product feature, not a negotiation.
Red Flags
- Shared logins recommended by the vendor's own support team
- No audit trail on sensitive actions like salary edits
- Vague answers about which staff can see customer data
The Bottom Line
Security is a practice, not a certificate. Vendors who answer these questions concretely, with product features you can see, have usually done the work.
